1. Introduction
monot Inc. ("we", "our", or "us") provides the macOS / iOS application "Topo Note" (the "App"). We handle user privacy with care. This Privacy Policy explains what information the App collects, how we use it, who we share it with, your rights, and how to contact us.
| Item | Detail |
|---|---|
| App name | Topo Note |
| Provider | monot Inc. (株式会社 Monot) |
| App website | https://monot.co.jp/topo/ |

For further provider information, please refer to the company profile page of our operating company. Our registered postal address and phone number will be disclosed promptly via the contact form above upon request, as required under Japan's Act on Specified Commercial Transactions.
2. Information We Collect
Topo Note is designed as a tool for jotting thoughts onto sticky notes. As a general rule, we do not send personal data to our servers. All data is stored on the user's device or in the user's own iCloud account.
2.1 Information you enter into the App
- Note body text (plain text / Markdown)
- Attached images (image files you insert into a note)
- Note metadata (color, font scale, tags, creation and modification timestamps, revision history, size, position [Mac only], pin state [Mac only], and similar)
- App settings (appearance, font, default size, wallpaper, app-icon selection, etc.)
→ This data is stored on your device (SwiftData storage) and, only if you enable iCloud sync (a Topo Note Pro feature), in your own iCloud account. It is not transmitted to our servers.
2.2 Information obtained via Apple
- Purchase information (StoreKit): Whether you have purchased Topo Note Pro, and the purchase date. Obtained only via Apple StoreKit and used only to determine your entitlement
- iCloud account: If you enable iCloud sync, your records are stored in your own iCloud account. We have no access to that data
- Pro Feature Preview start date: Saved in Apple's iCloud Key-Value Store under the key
topo.trial.startedAt. This is used solely to manage the Pro preview period accurately across devices under the same Apple ID; we do not use it to identify individuals
2.3 Tracking and Advertising
The App does not perform any cross-app or cross-web tracking. We do not obtain the advertising ID (IDFA). We do not use any third-party advertising network. The App Tracking Transparency (ATT) dialog is not displayed.
2.4 Crash Reports
The App may use Apple's first-party MetricKit / Xcode Organizer crash reports. Crash reports are shared with us via Apple only if you have enabled "Analytics & Improvements" sharing in your iOS / macOS settings. Reports include stack traces and similar information from crashes encountered while running the App, but do not include the contents of your notes or attached images.
3. How We Collect Information
| Method | Categories |
|---|---|
| Direct user input | Note body, images, tags, color, settings |
| Apple StoreKit | Topo Note Pro purchase entitlement |
| Apple iCloud Key-Value Store | Pro preview period start date |
| Apple MetricKit (opt-in) | Crash reports |
4. How We Use Information
| Information | Purpose |
|---|---|
| Note body, images, metadata | Core app functions (display, edit, search, and sync notes) |
| Purchase information | Determine Topo Note Pro entitlement |
| Pro preview start date | Manage the Pro preview period across devices under the same Apple ID |
| Crash reports | Detect and fix defects |
We do not use your information beyond the purposes stated above. If we add or change purposes in the future, we will revise this Policy and notify you within the App or on our website.
5. Sharing with Third Parties
We do not share user information with third parties except in the following cases:
- When you give explicit consent (e.g., when you use the share feature to send a note to an external service)
- When required by law (court orders, requests from law enforcement, etc.)
We never sell or rent user data.
6. Data Storage and International Transfer
| Data | Location | iCloud Sync |
|---|---|---|
| Note body, images, metadata, user settings | Your device (SwiftData) | Included (as a Topo Note Pro feature: if you enable iCloud sync, stored in your own iCloud account in CloudKit Container iCloud.app.toponote) |
| StoreKit purchase data | Apple servers (subject to Apple's privacy policy) | — |
| Pro preview period start date | Apple iCloud Key-Value Store | — |
| Crash reports (opt-in) | Apple servers (shared with us via Apple only if you have enabled sharing) | — |
iCloud sync data is stored on iCloud servers operated by Apple, but the content resides only within your own iCloud account; we have no access to it. Apple is not our data processor; Apple processes the data under Apple's own privacy policy.
International transfers
- Data processing on Apple servers via iCloud, StoreKit, iCloud Key-Value Store, and MetricKit is governed by Apple's privacy policy and applicable laws.
7. Retention Period
| Data | Retention |
|---|---|
| In-app data (note body, images, metadata) | Until you uninstall the App or delete it within the App. Deleted notes are retained in "Trash" for up to 30 days before permanent deletion |
| iCloud sync data | Until you delete it from your iCloud |
| Topo Note Pro entitlement (whether you have purchased) | Until you uninstall the App (stored on-device). We do not retain per-user purchase histories |
| Crash reports | Per Apple's retention policy |
| Tax / accounting records (sales statements, settlement records) | Apple, as the merchant of record, retains individual transaction records. We receive only aggregated settlement information from Apple, which we retain for the period required under Japanese tax-related recordkeeping laws, including the Corporation Tax Act and the Electronic Bookkeeping Act (generally 7 years). We do not retain per-user purchase histories |
8. Your Rights
You have the following rights:
- Right of access: Request disclosure of information we hold about you
- Right to rectification: Request correction of inaccurate information
- Right to erasure: Request deletion of your information
Because in-app data is stored on your device, you can view, edit, and delete your data at any time from the App's settings screen or directly from the notes themselves. To delete data completely, empty the App's "Trash" or uninstall the App. If you have enabled iCloud sync, you can delete the Topo Note iCloud data via iOS / macOS "Settings → Apple ID → iCloud".
To exercise other rights, please use the contact form linked at the top of this Policy. We will respond within 30 days as a rule. We respond to such requests free of charge as a rule; we may charge a reasonable amount equivalent to the actual costs incurred only where the same request is repeated many times in a short period or otherwise imposes an excessive burden on us.
8.1 Additional Rights for EU Residents
Users residing in the EU have, in addition to the above, the right to restriction of processing, the right to data portability (to receive your data in a machine-readable format), the right to lodge a complaint with their local data protection supervisory authority, the right to object to processing based on legitimate interest, and the right not to be subject to automated decision-making (we do not perform automated decision-making) under the EU General Data Protection Regulation (GDPR). To exercise these rights, please use the contact form linked at the top of this Policy.
9. Cookies and Tracking Tools
The App is a native macOS / iOS application and does not use web cookies. We do not perform any third-party tracking via SDKs.
10. Security
We take the following measures to protect your information:
- Data is stored on your device and is not sent to our servers over the network
- iCloud sync relies on the encryption and security mechanisms provided by Apple
- StoreKit / iCloud Key-Value Store / MetricKit rely on Apple's security mechanisms
- Note snapshots shared between the Topo Note app and the Widget extension via the App Group (
group.app.toponote) are stored only on your device and are not transmitted externally
However, no method of internet transmission or electronic storage is 100% secure.
11. Children's Privacy
The App is not directed at children under 13 (COPPA) or children under 16 (GDPR). We do not knowingly collect personal information from children. If you are a parent or guardian and believe a child under the relevant age has used the App, please use the contact form linked at the top of this Policy.
12. Changes to this Policy
This Policy may be updated to reflect changes in law or new features in the App. For material changes, we will provide notice within the App or on our website at least 30 days in advance. The Last updated date is shown at the top of this Policy.
13. Contact
For questions, exercise of rights, or other requests regarding this Policy, please use our operating company's contact form:
- Contact form: https://monot.co.jp/contact/
- App website: https://monot.co.jp/topo/
Our postal address and phone number will be disclosed promptly via the contact form above upon request, as required under Japan's Act on Specified Commercial Transactions.
14. Governing Law and Jurisdiction
This Policy is governed by the laws of Japan. Any dispute arising out of this Policy shall be submitted to the Tokyo District Court as the court of exclusive jurisdiction of first instance. Note, however, that mandatory provisions of the GDPR and other applicable laws may still apply to users residing in the EU or other jurisdictions; this Article does not exclude their application.
